CLUB PRESIDENT - To preside over meeting of the club;
- To see that each meeting is carefully planned, opened and adjourned on time;
- To preside over regular meetings of the Board of Directors;
- To appoint club committee chairpersons and members who are qualified for jobs assigned;
- To make certain that each committee has definite objectives and that each is functioning consistently;
- To hold regular club assemblies, the first as soon as possible after the appoint ment of committees;
- To attend district conference;
- To attend the President-elect training seminar and district assembly as incoming President;
- To cooperate with District Governor in various club and district Rotary matters to handle all correspondence promptly;
- To supervise preparation of club budget and proper accounting of club finances including an annual audit;
- To see that written reports by various committee chairpersons are presented to DG on the occasion of his official visit to the club;
- To make use of information available at DGs Secretariat;
- To make certain that important information obtained from RI, GML, and other bulletins and literature from the secretariat and DG is passed on to members of the club;
- To make certain that the club is properly represented at district conference;
- To conduct a semi annual check up in January of all committee activities and prepare objectives for the balance programmes of the Rotary Year;
- To submit in June a comprehensive report to club members, of the status of club finances and the extent to which it has achieved its objectives;
- To confer with the incoming club President before going out of office;
- To arrange a joint meeting of incoming and outgoing Board of Directors for the dual purpose of getting the new administration a good start and providing continuity of club administration
CLUB SECRETARY
The basic duties of a club secretary are; - Maintaining membership records;
- Recording attendance at meetings;
- Reporting monthly attendance figures of the club to the district immediately following the last meeting of each month;
- Sending out notices of meetings of the club, board, and committees; Recording and preserving minutes of the meeting of the club; the board, and committees;
- Making required reports to RI including;
- Semi annual reports of membership (due on 1st July and 1st January)
- Reports on new members inducted to club between semiannual reporting periods Changes in membership should be submitted to RI General Secretary;
- Collect and remit to RI / Rotary News Trust subscription to THE ROTARIAN and / or Rotary News. Collect and remit any other dues as required, from time to time;
- Perform such other duties usually pertaining to the office of secretary;
- Assisting President with arrangement of weekly meetings, board meetings, club assemblies, etc.;
- Assist President for preparation for District Governor’s visit and selection of club officers for next year and annual report;
- Handing over all pertinent records to incoming Secretary.
CLUB TREASURER
- Treasurer shall have custody of and maintain account of all club funds, shall prepare financial reports, help President to develop the year’s budget.
- Treasurer shall keep a watch through the year on expenses as against the budget provided and keep the board informed.
- Treasurer prepares an annual accounting of club’s financial status and at any other time upon demand by the board.
- Treasurer deposits all club funds in a bank named by the board and all bills shall be paid by cheques signed by treasurer after two officers have verified in writing that transactions are legitimate.
- Funds raised for specific service projects should be kept separate from club operating funds;
- On completion of the year; hand over all funds, books of accounts and other club property to incoming Treasurer. Treasurer shall get a thorough audit done of all club’s financial transactions during his year, by a certified public accountant.
CLUB TRAINER
The RI Board, in November 2006, created a new optional club-level trainer position with the idea of fostering the development of leadership skills and increase awareness about Rotary at the Club level. The club president-elect may wish to appoint a club trainer(s) to oversee the club training plan during the coming year. The club trainer serves a one year term, with a limit of three consecutive terms. The club trainer should work with the club’s board and committees to ensure all training needs are met and work with the district training committee, the assistant governor assigned to the club, and the district governor for support and ideas. Club Training Plan The club should have a comprehensive training plan that ensures - Club leaders attend district training meetings as appropriate
- Orientation is consistent and regularly provided to new members
- Ongoing educational opportunities are available for current members
- A leadership skills development program is available for all members. Club Leadership Development Seminar
In addition to the Club-level trainer position, the RI Board has also created the Club Leadership Development program. This program aims to develop the personal leadership skills of club members thereby enhancing their professional life and developing future club leaders.
